The Graduate College at the University of Illinois at Chicago is seeking candidates for an Assistant Dean for Academic and Student Services position.

The Assistant Dean for Academic and Student Services is responsible for the day to day operations of the Graduate College. The Assistant Dean provides leadership to the Graduate College Staff on matters relating to the operation of the Graduate College which include: academic program support, admissions, academic standing, student dismissals, graduation, etc. The Assistant Dean provides guidance and direction to graduate academic program staff and Directors of Graduate Studies. This position interacts with all staff of the Graduate College as well as graduate students, program support staff, faculty, Directors of Graduate Studies, and Department Heads/Chairs, on a variety of issues.

Job Responsibilities

Graduate Student Admissions

  • Oversees admission policies and processes for the Graduate College. Maintain standards of graduate education and ensure that Graduate College and university policy are adhered to.

  • Works directly with Directors of Graduate Studies and program support staff on issues related to admissions.

  • Reviews exceptions to Graduate College admission policies and negotiates with programs on these exceptions.

  • Meets regularly with management staff in the Office of Graduate and Professional Admissions, the Office of International Services, and the Office of Student Systems Services regarding enhancements to online resources for students and programs. Liaison with graduate programs on Admissions issues.

  • Sets admission deadline criteria and obtains deadline information from graduate programs. Notifies Admissions Office of changes and updates online resources.

  • Maintains UIC Connect, online admissions website.

  • Reviews updates to Graduate Catalog related to program admission requirements changes.


Fellowships and Awards

  • Provides input on the fellowship and award policy and processes for the College.

  • Approves student emergency grant applications.

  • Ensures processes are being carried out on time and that updates and budget are adhered to.


Graduate Student Records and Registration

  • Oversees records and registration policy and processes for the Graduate College.

  • Works directly with Directors of Graduate Studies and program support staff with issues related to student records and registration.

  • Reviews exceptions to Graduate College policy and negotiates with programs on these exceptions.

  • Processes academic standing each term.

  • Reviews and finalizes all student dismissals through both academic standing and academic program action.


Other

  • Oversees processes for student committees, graduate faculty membership, theses/dissertation policy and submission, and graduation.

  • Oversees planning and strategy for Graduate Student professional and career development.

  • Represents the Dean on various campus-level committees and strategic meetings.

  • Consults with graduate students on urgent and complex policy and mentoring issues.

  • Consults with Directors of Graduate Studies, Department Heads/Chairs, graduate program support staff and individual faculty on a variety of issues concerning graduate education and student issues.

  • Oversees various ad hoc surveys.

  • Aids with organization of meetings of the Executive Committee, Directors of Graduate Studies, and Graduate Faculty, as well as other ad hoc campus-level meetings.

  • Plans, assigns and reviews work of staff to ensure that group objectives are met. Hires, trains, develops and manages staff to ensure that a qualified staff exists to meet group objectives.

  • Performs other related duties and participate in special projects as assigned


Requirements

Minimum of Master's Degree required.

Minimum of five (5) years of experience in higher education administration, preferably at the graduate level, at a research university. Supervisory experience preferred.

Ability to work with a high level of detail, be able to accurately process a large amount of information, and be able to work on a number of high-level projects simultaneously.

Excellent overall communication and people skills.

Knowledge of higher education at the graduate level is required.

Ability to communicate and react diplomatically with students, graduate program support staff, faculty, Directors of Graduate Studies, and Department Heads/Chairs.
