SDSU Research Foundation is seeking an Administrative Support Analyst to join our growing team!

WHAT OUR DEPARTMENT DOES
The Information Systems (IS) team serves the evolving information services and technology needs of SDSURF. The team is responsible for the operation, maintenance, security, and ongoing development of SDSURF enterprise systems and providing administrative desktop services for central staff personnel. We are service oriented and collaborate with colleagues across the organization to develop and implement innovative user-focused IT solutions that are vital for informed decision making and exceptional services for researchers and employees.
Responsibilities
YOUR ROLE IN CREATING THE UNIVERSITYS PRESENT AND FUTURE
As an administrative support analyst, reporting to the Chief Information Officer, you will be a key member of the IS team, collaborating with a team of diverse and talented professionals in support of department operations and our mission to deliver exceptional systems and services. In this role, you will be responsible for a variety and range of routine to complex administrative tasks in a fast-paced environment. With integrity, discretion, and professionalism, you will routinely handle confidential information and interact with senior executives, vendors, stakeholders, and colleagues across the organization.
THE WORK YOU WILL DO AND MANAGE
- Process and track department and project budgets, expenditures and reimbursements; assists CIO with preparation of annual budgets and 6, 9, and 11-month reviews.
- Prepare and process check requests/disbursement requests, purchase requisitions, and journal vouchers for IS budget items, invoice reconciliations, and other financial paperwork and documentation in a timely manner.
- Coordinate IS team and project team meetings and recognition events; create and deliver professional meeting agendas, accurate minutes and action item logs, and presentations; meal catering; utilize various technologies to facilitate in person, virtual, and hybrid events.
- Development of IS project plans, operational status reports, and management dashboards to track metrics and measures related to our IT program activities using Smartsheet and other technology tools.
- Create and manage stakeholder feedback surveys, including analysis and recommendations to support continuous improvements.
- Run reports and analyze data, generate trend reports, charts and graphs using Microsoft Excel
- Research and document processes that span multiple systems and processes across campus (e.g., employee onboarding and off-boarding, data feeds and relationships, etc.), data gathering to facilitate process improvement collaborations and draft RFIs and vendor quote requests.
- Create and maintain content for IS SharePoint sites, including a repository of all IS user guides, contracts, agreements, MOUs, compliance activity tracking and policies and procedures.
- Help research user productivity tools and applications and prepare Quick Start guides
Qualifications

- Experience using office productivity software - Office 365 or Google G-Suite
- Ability and desire to learn new technologies quickly.
- Demonstrated ability to maintain attention to detail and accuracy while multi-tasking.
- Ability to read, understand and analyze information, reports, and research data; and communicate analysis succinctly and cogently.
- Self-starter; proactive; resourceful and reliable.
- Working knowledge of budget policies and procedures.
- Ability to analyze data and make accurate projections using business mathematics and basic statistical techniques.
Experience and Education
- Bachelors degree or equivalent combination of coursework and work experience
- 3 or more years of professional experience in an administrative support role
Preferred Qualifications and Special Skills
- Experience with enterprise financial, human resources, and/or research administration systems
- Experience developing reports and manipulating data with Microsoft Excel or any enterprise reporting tool(s).
- Experience gathering, testing, and documenting requirements.
